Import Logistics Coordinator

RESPONSIBILITIES:
Ocean Import
For assigned Port(s), manage and coordinate movement of Imported Ocean containers to customer’s or Superior Foods warehouses.
Provide early identification of problem shipments. Communicate/resolve with stakeholders and coordinate/implement solutions.
Communicate immediately any customs holds to relevant parties for action.
Work closely with transportation providers ensuring efficient and effective execution of defined processes. This includes confirming shipment ETA’s, reviewing routing, confirming shipping line, government agencies and port releases, requesting/confirming wire payments, scheduling delivery appointments, dispatching orders and confirming empty container returns.
Review arrival notice and freight invoices and allocate charges correctly into BC system. Liaison with Account Managers, Accounting and transportation providers, as needed, to resolve discrepancies.
Assist in negotiating freight rates with transportation providers, targeting cost reduction, freight savings and service improvements
Thorough understanding of Incoterms making necessary changes in BC system as called out by Trade compliance or other department members
Communicate to the organization/upper management any known challenges/ bottlenecks at assigned ports
dispatch Coordination
Coordinate scheduled loads via data entry, e-mail, phone, etc.
Schedule pickup and delivery appointments
Update relevant milestones in BC or relevant Logistics operating systems
Follow up and track status of scheduled shipments
Update and maintain pending changes on orders in BC
Communicate any challenges or delays directly with internal stakeholders including BM’s & commercial team
Schedule pick-up and delivery appointment
Review vendor invoices and audit charges against quote/ contracted rate
Obtain POD’s from trucker and upload in BC
MISC
Review and log any seal Discrepancies & provide Resolution in accordance with CTPAT/QA regulations
Sourcing new drayage carriers
Vetting and submission of proposals for domestic RFQ’s
Alternative port coverage acting as backup for time off coverage
Attend assigned webinars as needed
Support any freight invoice disputes including weekly updates of internal logout sheets
QUALIFICATION REQUIREMENTS:

EDUCATION and/or EXPERIENCE:
Requires high school diploma, and BS or BA preferred and 3-5 years related work experience or appropriate combination of education and experience.
Understanding of mathematics and basic accounting principles.
Must be well organized and possess excellent telephone communication skills.
Must possess exceptional written and verbal communication skills.
Customs and FDA knowledge helpful.
Working knowledge, Excel, Word and Power point
Must be able to adjust tasks in accordance with changing deadlines and priorities. Strong customer service skills essential.
LANGUAGE SKILLS:
Ability to read, analyze, and interpret general business periodicals, professional journals, and sales and marketing reports. Ability to write reports, business correspondence, and procedures with conformance to the prescribed style and format. Ability to effectively present information and respond to questions from employees, managers, clients, suppliers, vendors, other stake holders and the general public.
MATHEMATICAL SKILLS:
Ability to apply concepts such as fractions, percentages, ratios, and proportions to practical situations.
TRAVEL:
This job requires minimal travel (10%).
